A Quick Primer on Video Sessions

1. If you create a video appointment you can choose to generate a video link, create a video room, or use an existing video room you have already created.
2. Whatever you choose, if your client has a client-portal account (you would have invited them already,) then the client will see the correct link associated with that appointment in their system,
3. If a client books an appointment via your public calendar, a new link is automatically created. You’ll see this link as a part of the appointment record in your calendar. They’ll see this link too.
4. If you want to have a video session without a appointment, you can go to the Video section of iCouch, create a new video room (or use an existing one) — then share that link with a client (emailing it to them manually or using iCouch Messaging to send it to them.)
5. If you start a session from within the Video section, that’s going to create a one-time link. From within the session, you can invite people and they’ll get an email notification. However, this approach isn’t recommended because you might be sitting in the session for a few minutes before they receive the email with the link. So, to summarize, use the “Video Rooms” feature — because that lets you create links ahead of time.
The basic summary of all this:
a. If there’s an “Appointment” involved — everyone will see the link with the Appointment record. Obviously, a client will have needed to have accepted your invitation for a client portal account for them to see anything.
b. If there’s no Appointment involved, you can share a Video Room link with a client (either manually by emailing it yourself or through iCouch Messaging.)
c. If a client doesn’t have a portal account, that’s fine! Just share the video link through a means outside of iCouch (email or SMS or whatever you want.)
Participants do NOT need an account to join a video session. They only need the correct link. Click-and-join. No sign in required.
